How to use Private and Shared Notes?

This article goes over creating, managing and using notes on Schemon.


Notes help you keep important information connected to individual clients. Schemon supports both private notes, which only you can see, and shared notes, which are visible to both you and your client.

Open Notes

To access your notes:

  1. Make sure you are in your Provider View.

  2. Open Workspace.

  3. Select Notes.

The Notes page displays a list of your clients because notes are organized by client.

Find a Client or Note

Use the search bar to search for:

  • A client

  • Information contained in a note

Click a client's name to view the notes associated with that client.

Private Notes

Private notes are marked with a Private label. Only you can see private notes. Your client cannot access them. Private notes are useful for information such as:

  • Topics you want to discuss later

  • Questions you want to ask

  • Internal observations

  • Issues that need follow-up

  • Client preferences

  • Preparation for future meetings

Because notes remain connected to the client, you can review them before your next appointment.

Shared Notes

Shared notes are marked with a Shared label. These notes can be accessed by both you and your client. Shared notes are useful when both sides need access to the same information. For example, you might use them for:

  • Meeting summaries

  • Important instructions

  • Agreed next steps

  • General information

  • Follow-up points

Create a New Note

To create a note:

  1. Open the relevant client's Notes page.

  2. Click Add Note.

  3. Write your note.

  4. Choose whether it should be Private or Shared.

  5. Finish creating the note.

The new note will now appear with the appropriate Private or Shared label.

Edit a Note

To change an existing note:

  1. Click the note.

  2. Select Edit Note.

  3. Make your changes.

  4. Save the updated note.

Delete a Note

If you no longer need a note:

  1. Open the note.

  2. Select Delete Note.

Using Notes regularly can make it easier to remember previous conversations, prepare for meetings, and keep important client information organized.
